Job description

Our team has an immediate 12-month contract opening for an Administrative Assistant.

Responsibilities:

  • Assist with facilities management; office space planning, manage seating maps, coordinate with landlord - booking loading dock/garbage recycle/ water filter replacement, etc.
  • Coordinate during, staff moves, office leasing and renovation projects
  • Provide mailing services, such as receiving and sending both domestic and international mail and shipment
  • Work with Business Units and Asset Manager for distribution and return of IT assets (PC, monitors, etc.), including asset disposal and asset inventory checking and documentation
  • Manage internal and external visitor access control and registration
  • New hire set up, including ID card preparation and data entry to security system, parking passes, computer distribution, etc.
  • Maintain office operational services, including coffee/water service, first aid and office cleaning, etc.
  • Handle other assignments given by the office manager

The target annual compensation (based on 2080 hours per year) ranges from $48,000 to $94,000 depending on education, experience and demonstrated expertise.

Job requirements

What you'll bring to the team:

  • Proficient computer skills with Microsoft Office Suite (Word, Excel, PowerPoint)
  • Able to work in a team and individually
  • Post-Secondary Diploma in Business Administration, or relevant discipline
  • Relevant experience in office administration will be an asset
  • Strong English communication skills
